A useful event transport plan tells guests where to meet, who to contact and what happens after the celebration. This guide focuses on sharing collection instructions and organizing returns, alongside the main event transport booking.
A guest message to prepare before the event
Once the team has confirmed the collection arrangement, prepare a guest message containing the date, meeting address, recognizable entrance or agreed meeting point, collection time and reachable organizer contact. Use the same version for every passenger in that group. Avoid promising an unconfirmed curb position or telling guests that the car will wait indefinitely.
- Identify each guest group and its outward collection.
- Separate early departures from the final return.
- State which contact receives a change or readiness update.
- Have one organizer communicate a revised plan to the team.
For example, guests leaving after dinner and guests staying until the reception ends need two return entries with their own passenger counts. Confirm those movements when requesting the quote. For venue-specific planning, see Hamptons wedding transportation or the Yankee Stadium journey guide; neither guide establishes unrestricted venue access.
Give guests clear instructions
Name one event contact and agree where guests should meet. Share addresses and collection times in the event information. Check the venue entrance and loading instructions directly with the venue before passing them to passengers.
Build a realistic arrival plan
Start with the ceremony, meeting or event arrival deadline. Allow for the route, collections and boarding when discussing timing. Tell the team which appointments are fixed and contact them if the plan changes.
Review the group and vehicle fit
Provide the numbers on each leg, luggage and any equipment. Compare the current chauffeur fleet and ask the team to confirm seating and storage. See Hamptons group planning for a shared-pickup checklist; it does not establish capacity for an unlimited group.
Plan departures as well as arrivals
List early departures and the final return separately. A direct outward transfer does not include a vehicle remaining at the venue unless agreed. Ask about waiting and changes if the event might finish later than expected.
Confirm the service in writing
Use the event transportation page to discuss the itinerary. Confirm the proposed vehicles, price, included time and change terms. Keep the event contact available on the day and use the agreed communication route for updates.
To discuss availability and pricing, request a quote or contact our team. A booking is confirmed after the arrangements and terms have been agreed.
