Choose one person to coordinate the request and provide a working passenger contact number. List each pickup address, how many people join at that stop and any entrance or access instructions. If everyone can meet at one agreed location, include that option so the team can review it alongside separate collections.
Tell us the full destination address rather than only the town or venue name. For accommodation, identify the agreed collection point. For a private venue, confirm where vehicles may enter and where passengers should meet after the event. Arrange venue access directly with the host and share the instructions with our team.
Choose vehicles around people, bags and equipment
Compare the current chauffeur fleet before sending a preference, but ask the team to confirm the actual passenger and luggage fit. A Sprinter or another group arrangement can be discussed. A vehicle's seating alone does not establish how much luggage it can carry when every seat is occupied.
List large cases, carry-on bags, strollers and any equipment separately. For a golf outing, include the number of golf bags and whether they are in travel cases. A direct outward transfer should not be assumed to include a vehicle waiting for the group. Request a separate return pickup or discuss an agreed period of hourly service. Confirm the collection address, expected finish, passenger count and whether the same equipment returns with you.
